How to support candidates in using the Candidate Portal

This article covers the typical problems experience by candidates when signing up to their candidate portal

1 How to invite candidates to the candidate portal

If a candidate applies for a job, they will automatically be invited to the portal.
If this is not the case, you can invite in bulk or individually


2 Common problems (error messages) candidates experience


We've also included suggested text for you to copy.

Error 1 : Cookies is disabled in your browser. Please enable the cookie to continue
Solution : This issue sometimes occurs with Apple device users.
Recommend to candidate to clear cache or use a different browser such as Firefox or Chrome. 
Text to copy : "Dear Candidate, we're sorry you are struggling to access your portal.
Please clear your we browser cache as follows and try again. If you still struggle, let us know
  1. Click on the Safari drop-down menu and select Preferences.
  2. Click the Advanced tab.
  3. Select the Show Develop menu in menu bar checkbox and close the Preferences window.
  4. Select the Develop drop-down menu. Click Empty Cache.
  5. Note: You may want to also clear your browser history."
Error 2 : Account unconfirmed. This issue means that the candidate is trying to access the portal,
but they have not yet clicked on the confirmation link that was sent to their email address. 
Solution : Re-invite the candidate so that they receive an updated link to their email.
Text to copy : "Dear Candidate, we notice that you're unable to access your Candidate Portal.
Because your email address is used for access to the Candidate Portal, it has to be verified first.
Step 1 : An email have been sent to you inviting you to activate your Portal. Click on the link,
choose a password
Step 2: You will receive another email, confirming your account. You can now log in.

Error 3 : Candidate did not receive the invitation to the portal
Solution : Check candidate portal status and invite / re-invite. Ask candidate to check spam.
Text to copy : "Dear Candidate, we have resent the invitation link.
Please check your spam mailbox. The email subject line is "...."

Error 4 : Candidate forgot where to find their candidate portal
Solution : Send the candidate the portal link,
found in Zoho Recruit > Settings > Portal > Candidate Portal
Text to copy : "Dear Candidate, to access your candidate portal, click here"

Error 5 : Candidate forgot his password 
Solution : In the email template ensure you add the candidate portal, guiding the candidate to the portal. Candidate tends to forgot how to get to the portal instead of "I forgot my password"
Text to copy : "Dear Candidate, to access your candidate portal, click here"

Error 6 : "Invalid Invitation". When a candidate is invited to activate their portal, there is a time limit attached. The invitation will eventually expire.
Solution : Reinvite the candidate (Open candidate profile > 3 dots > Re-invite candidate)
Text to copy : "Dear Candidate, your invitation has expired. We have reinvited you today, please use the latest link to activate your portal"

3 How to check your candidate's portal status

**Note you can only check the status form the candidate MAIN PROFILE, not from the application profile. Learn More
Open candidate main profile > Ellipsis menu (3 dot menu top right)
One of 3 statuses will be visible :

1 Invite Candidate : This means the candidate has not been invited at all
2 Re-invite candidate : This means the candidate has been invited but has not accepted


3 Disable candidate login :  This means the candidate has accepted the invite and has an active
candidate portal. If they are unable to access, simply send the link to your candidate portal

Go to Settings > Portal Setup > Candidate Portal
