User & Non User (Employee) profiles 

This article explains the difference between a user profile and an employee profile

What is a User?



These are employees who will have  email (work) address and password and will be able to login to their account.
They can access their self service and perform actions such as apply leave, submit timesheets, submit self appraisal etc.
Last Name, Employee ID and Email Address are mandatory fields for adding a User.

Once you have invited a user, you will not be able to change their email address. Even if they have not yet accepted the invitation. 

What is a Non User? (Employee Profile)

These are employees who will not be logging in to Zoho People. Examples include contractors, employees who don't have devices, or who are not computer literate.

These employees' profiles are maintained by the admin/reporting manager in the account.
Since these employees don't log in to Zoho People, no email address is necessary to create a new Employee Profile.

This type of Zoho subscription license is different to a USER license. It can be purchased as an add on called "non user" in your subscription page

Converting User profiles

You can convert a USER profile into an EMPLOYEE PROFILE and back again.

Why would you need to do this? 

a) Onboarding : If you add new employees as EMPLOYEE PROFILES initially, you will convert them to USERS once they are ready for onboarding
