Troubleshooting leave balances

If a leave balance is incorrect, there are generally 3 possible reasons :
  1. The opening balance is incorrect | The cause is the person responsible for importing opening balances got it wrong, or wrong balances were provided. | To fix, simply customise the balance
  2. The balance was manually adjusted at some point, incorrectly | To fix, simply override with the correct balance. To see the audit history of who adjusted the leave and why > How to check overrided leave balance audit trail. | To fix, simply customise the balance
  3. Leave is not accruing correctly | The cause is the leave rule is set up incorrectly | To fix, update the leave rule. NOTE : DO NOT DO THIS WITHOUT ASSISTANCE. UPDATING LEAVE RULES WILL CHANGE ALL OF YOUR EMPLOYEES' LEAVE BALANCES.
  4. Leave is not expiring (lapsing) correctly | The cause is the leave rule is set up incorrectly | To fix, update the leave rule. NOTE : DO NOT DO THIS WITHOUT ASSISTANCE. UPDATING LEAVE RULES WILL CHANGE ALL OF YOUR EMPLOYEES' LEAVE BALANCES.
  5. Leave is expiring (lapsing) correctly, but the employee negotiated for you to "give the expired days back" | To fix, simply customise the balance

How to override leave balances (admin only)




Operations > Leave > Customise Balance > Click on the employee you want to customise



Select the leave type > choose the effective date > add the new balance as at the date selected

How to view, filter and manage leave transactions

Operations > Leave > Leave Requests
Use the View, column headers, export and filter options to navigate



Q&A

Question : Can I allow an employee to take 2 different leave types on one day (half days)
Solution : Currently the system does not impose any restrictions with regards to consuming 2 different leave types within a single day. Unless restrictions have been manually configured from your end to not allow for consumption of both the required leave types consecutively or otherwise.

Question : Can Administrators override leave approvals? (Approve pending requests)
